Patient profiles feature released!

We're excited to announce that we've just released another brand-new feature, giving ClinicAid users access to patient profiles!

These profiles will allow users to search through patients more easily, set and search for patient statuses, select a physician for a patient, add employer information, and upload an image to patient profiles. An example of a profile can be seen below.

The Teleplan claim submission cut-off dates occur twice every month. Remittance files are posted 7-10 days after cut-off with payment being made usually within a few days of the files being posted.

All claims should be submitted prior to 7:00 p.m. on the cut-off day to ensure that they will be assessed for the following remittance date to receive payment. Remittance files can be accessed as of 5:00 a.m. on the dates the remittance is posted.

Updated cut-off dates for 2016

BC physicians and medical practitioners are able to electronically submit their Medical Service Plan (MSP) claims through the Teleplan system. Cut-off dates for Teleplan claim submissions in BC occur twice a month. Remittance files are posted about 7-10 days after cut-off, with payment being made shortly after that (generally within a few days).

Physicians and medical professionals in Ontario will need to make the switch to the new Medical Claims Electronic Data Transfer (MC EDT) by the end of 2014, according to the new regulation put out by Ontario's Ministry of Health and Long-Term Care. The old EDT system will be phased out and the new web-based MC EDT system will become the only way physicians can submit their claims to OHIP.

Did you know that ClinicAid integrates with the OSCAR EMR system?

When we created ClinicAid, we aimed to build an efficient medical billing software for Canadian physicians and medical professionals. As many electronic medical record (EMR) users will attest to, the billing functionality of most EMR systems leave a lot to be desired and are often quite complex and confusing. That's why we also wanted to build ClinicAid in such a way as to offer a simple alternative that could take care of medical billing for Canadian healthcare providers while also easily integrating with one of Canada's most popular electronic health records systems, OSCAR EMR.

The integration with Oscar allows ClinicAid's interface to automatically load from the various billing links. It's built in such a way as to pull in the patient's demographic information from their Oscar demographic master file so data input is minimal. Using ClinicAid for billing will make the process of creating and submitting claims easier and faster as all that will need to be completed are service codes, fee modifiers, and diagnostic codes.

Because ClinicAid is automated, claims files will no longer need to be generated and submitted or uploaded or downloaded, and remittance files received from the provincial Ministry of Health are loaded into the interface automatically as well. Changes can be made directly to any bills that require action. This medical billing software will help practitioners in Alberta, Ontario, and BC streamline and simplify their billing and bill patients in their EMR system in the most efficient way. Alberta Health cut-off dates for physician billing submissions | ClinicAid blog

Alberta Health medical billing functions on a weekly cycle. Cut-offs, processing, and payments are all done once a week, with payments being made for the previous week's claims.

Medical billing submissions can be made to Health Link Alberta (H-Link) using ClinicAid's medical billing software as invoices are created. Our software batches invoices that have been submitted and sends them off to Alberta Health once an hour. The general rules for submission cut-offs, processing, and payments for Alberta's physicians and medical professionals are as follows:
  • Claims should be submitted before Thursday at 12:00 p.m. MST. Claims received after 12:00 p.m., but before the end of the business day are often also accepted.
  • Claims submitted by the Thursday cut-off will be processed over the weekend and remittance files will be received by the following Sunday evening at the latest. Responses are usually received by Friday and are loaded into ClinicAid directly. Any invoices that have been rejected, underpaid, or paid at zero will be displayed in the "Invoices Requiring Action" section of the Dashboard and in the Manage Invoices section. These can then be edited or settled as necessary.
  • Payment of approved claims is made during the following week, usually 7 days after the assessment of claims has been received.
  

OHIP submission cut-off dates for Ontario physicians | ClinicAid blog

If you're looking for the 2016/2017 cutoff dates for OHIP invoice submission, then look no further!

Cut-off dates for medical billing submissions sent to the Ontario Health Insurance Plan (OHIP) vary each month.

The general rules are that cut-off is the 18th of each month at 5:00 p.m. EST.

If the 18th falls on a weekend or holiday, cut-off is extended until the following business day. Claims received by that point will usually be processed to be paid by the 15th of the following month.

The 18th is a 'soft cutoff' with claims being accepted sometimes several days after the official cutoff date, this is usually on a "time permitting" basis. If this is not possible, those claims will be processed during the next billing cycle. Payment usually takes place on the 10th working day of each month for the previous month's claims.

Here is the cut-off schedule for EDT/MC EDT claim submissions for 2016/2017.
  • January 18th, 2016
  • February 18th, 2016
  • March 18th, 2016
  • April 18th, 2016
  • May 18th, 2016
  • June 20th, 2016
  • July 18th, 2016
  • August 18th, 2016
  • September 19th, 2016
  • October 18th, 2016
  • November 18th, 2016
  • December 12th, 2016 (due to the holidays, December cut-off is earlier than usual)
  • January 18th, 2017
  • February 20th, 2017
  • March 20th, 2017
To ensure that all of your claims are processed in a timely matter, OHIP recommendeds to submit at least weekly.

When submitting with ClinicAid, there's no need to batch your invoices, we take care of that automatically, so feel free to send individually as they're completed!





New Changes to Alberta Health Schedule of Medical Benefits | ClinicAid Blog

As of April 1st, 2014, recent changes made to the Alberta Health Care Insurance Plan (AHCIP) Schedule of Medical Benefits will come into effect. These changes will affect some codes, facilities, and pricing rates with codes and facilities being removed or added and pricing amounts being changed.

We have updated ClinicAid with the applicable changes to make as many as possible automated within the software. A quick video walk-through of the changes to ClinicAid's medical billing software has also been created and can be found on our YouTube channel, along with other useful tutorials.

Code Changes


Some of the codes that have changed are as follows:
New Service Codes Available as of April 1st, 2014
  • 03.05GA 
  • 03.44A 
  • 07.54B 
  • 09.02D 
  • 09.02E
These codes will only be found in the search results if the service date for the code is April 1st or later. Trying to bill for these codes for a service date prior to April 1st will result in an error as we've updated ClinicAid to ensure that the codes are billed accurately.

Service Codes No Longer Available as of April 1st, 2014
  • 03.05NT
  • 03.05ZF
  • 03.05BT
  • 03.05XT
  • 03.05BP
  • 03.05BU
  • 03.05VQ
These codes will not be available after March 31st, 2014. Much like the new codes, ClinicAid will check the service date you are trying to bill for in order to ensure that you are billing accurately. If you are trying to use on of these codes for a service date after Mach 31st, you will receive an error when saving the bill.

Changed Fee Modifier
The COMX fee modifier for the 03.03D service code (Hospital visits) has been removed and replaced with the COINPT fee modifier. 

Pricing Changes

Some codes have had their rates adjusted. For example, code 03.03D's base value before April 1st was $33.82. As of April 1st, the new base value for this service code will be $40.58. Around 2500 service codes have been updated with new prices.

Facility Changes

A number of facilities have been removed while new ones have been added to the list of valid facility numbers. Again, these will be available depending on the service date when billing within ClinicAid. 

It is important to make note of these changes in order to ensure you are submitting your bills to AHCIP correctly. We recently launched ClinicAid in Ontario, expanding the reach of our online medical billing software to physicians and other medical professionals in eastern Canada. Our launch has come right on time as the Ministry of Health recently announced that all Ontario physicians will need to switch over to the Medical Claims Electronic Data Transfer (MC EDT) system by December 18th, 2014. Currently, Ontario's doctors are using the EDT system that is modem based and will be decommissioned by the end of the year.
